Send Quote to Customer

Why: This is the final step of the process — getting the completed quote into the customer’s hands and recording in the system that it has been sent.

The current system has no feature to send an email/message directly to the customer from within a Quote. There is no item like “Send Email” or “Email to Customer” in the Actions menu — there is only Mark as sent, which is an internal status flag, not an actual send action. The content below describes the real flow that exists today, without assuming a direct-send feature the system doesn’t yet have.

The Real Flow: Generate → Download → Send Manually → Mark as Sent

Export the quote PDF file

Following the instructions in the Generate / Export Quote chapter, use Actions → PDF to download the quote file to your machine.

Attach it to an email/customer contact channel

Use your email tool or your internal customer-contact channel to send the PDF file (and any attached technical files if needed) to the Contact assigned to the Quote.

Mark the Quote as sent in the system

After actually sending it to the customer, go back to the Quote, open Actions, and select Mark as sent to update the internal status, letting other colleagues know this Quote has moved out of the drafting stage.

Not verified: during testing, the Mark as sent action repeatedly returned the error “Action failed. Please try again.”, even after every Line Item was completed and the Quote had been saved (see details in Completing the Quote). As a result, it was not confirmed what the Quote’s interface/status looks like after a successful “Mark as sent” (for example, whether the Quote Sent milestone in the Workflow block gets marked complete). This is a point the development team should investigate, and this document should be updated once it has been verified.

After Sending

By the design of the Workflow block (RFQ Received → Quote Started → Outstanding Work → Quote Sent), the final Quote Sent milestone is expected to switch to complete once the Quote has been successfully marked as sent — closing the RFQ → Quote → Customer loop for that Quote. After this step, the subsequent actions (Resend if the customer needs it re-sent, Facilitate order if the customer agrees, Mark as lost/Expired if unsuccessful) are described in the Quote Lifecycle chapter.

Expected result: The customer has received the complete quote, and the system records that the Quote has moved out of the internal drafting stage.
